The Collaborative for Higher Education Shared Services (CHESS) is a growing, fully remote nonprofit that aligns diverse, independently governed colleges to share tools and talents to better serve students and streamline administrative processes. CHESS OCM Workstream Lead

Summary
CHESS member colleges have embarked on an initiative to align systems and operational processes through the procurement and implementation of a common ERP/SIS platform. CHESS seeks an Organizational Change Management (OCM) Workstream Lead for implementation team development and change management, and end-user organizational change management across the colleges. This term position reports to the CHESS Chief Administrative Officer. The candidate will collaborate with the OCM Workstream and the CHESS Project Management Office, with responsibility for developing, configuring, and guiding the CHESS and member colleges’ approach for organizational change management in the implementation project across CHESS and its member colleges.
Duties and Responsibilities
- Collaborate with CHESS and College leadership to identify and gain commitment for Organizational Change Management Workstream activities throughout the project
- Serve as the liaison between the Vendor Change Management Consultants and the college workstream / team members in the OCM Teams
- Oversee involvement of relevant OCM Workstream activities as needed per the OCM Plan, Communications Plan, and Training Plan
- Facilitate regular OCM workstream meeting and participate in Team meetings and contribute to agenda planning
- Prepare and deliver OCM workstream report-outs on internal project workstream meetings and project governance meetings
- Coordinate with CHESS Project Management Office (PMO), Vendor Engagement Managers, and OCM Workstream to plan all Project Onboarding meetings for new project personnel and for ongoing project workstream team members and project leadership development
- Conduct high-level stakeholder identification activities utilizing tools and resources provided by Vendor
- Partner with Vendor consultants and OCM Workstream to plan and execute the collection and analysis of change impacts by relevant stakeholder groups and for critical end-users
- Partner with Vendor consultants to develop and customize the organizational change management strategy and organizational change management project plan, training plan, and communications plan to reflect the CHESS Way and needs of the CHESS organization, implementation project team members, and member colleges in addition to end-user Organizational Change Management activities
- Manage internal review process of strategy and OCM project plan, Training Plan, and Communications Plan, applying and implementing any required updates
- Coordinate with CHESS PMO to include key Organizational Change Management products and dependencies in overall project plan and the OCM project plan
- Coordinate and oversee involvement of OCM Teams into functional and technical activities as needed
- Coordinate any input or feedback from functional, technical, or college representatives to localize communications, OCM engagements, and training
- Coordinate with the CHESS Communications Office to ensure project-related communications align with all aspects of the CHESS Branding requirements
- Identify college resources requirements to support training development and review, including internal training developers and Subject Matter Experts to inform policy and procedure information, notifying the college leadership when additional resources are needed
- Identify college resources requirements to support organizational change management and communications throughout the project, notifying the college leadership when additional resources are needed
- Guide the overall strategy for the identification of the appropriate storage and distribution of training materials and assets
- Oversee and guide the development and execution of key internal stakeholder readiness activities
- Responsible for oversight, planning, and execution of all post-go-live OCM Workstream Activities in collaboration with identified college OCM Workstream members
- Coordinate with identified college personnel to develop individualized college strategies to evaluate and update college business processes resulting from organizational and transformational decisions made through the Vendor implementation project
- Coordinate identified college personnel to develop college-level strategies for business process documentation, standard operating procedures and other artifacts related to the overall operating model and job roles that will result from the implementation of Vendor
Qualifications
- Strong writing and communication skills across a variety of stakeholder audiences and media
- Excellent presentation development and delivery skills
- Experience leading teams through large, transformational change
- Understanding of team development theory and experience guiding team development activities
- Knowledge of community college structures and norms. Knowledge of one or more CHESS Colleges’ structure and culture, preferred
- Ability to work independently and collaboratively to meet deadlines
- Proficiency with MS Office
- Organizational Change Management Certification (ex. PROSCI), preferred
- Project Management Experience, preferred
- Proficiency with project management software (ex. Smartsheet)
- Experience on an implementation team for a student information system, preferred
- Bachelor’s degree and 5 years of relevant experience. Relevant experience may be used to substitute for education.

The work is typically performed while sitting at a desk or table or while intermittently sitting, standing stooping, bending, crouching, or walking. Financial Aid Verification and Processing Specialist

Summary
Under direct supervision by the CHESS Financial Aid Assistant Director, the CHESS Financial Aid Verification and Processing Specialist will perform functions related to back-office processing for our member institutions financial aid offices.
Duties and Responsibilities
CHESS is seeking a Financial Aid Verification and Processing Specialist to assist in the Workday project implementation by attending architect and configure meetings and participating in testing. The Financial Aid Verification and Processing Specialist will perform back-office processes for member institutions to include verification, ISIR Management, Action Item Assignment, Budgeting, Packaging, Disbursement, Return of Title IV Funds and Satisfactory Academic Progress.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assist in designing workflows of key processes (ISIR Management, Action Item Assignment, Verification, Corrections, Budgeting, Packaging, Disbursement Return of Title IV Funds and Satisfactory Academic Progress, etc.).
- Perform Financial Aid back-office processes for member institutions (ISIR Management, Action Item Assignment, Verification, Corrections, Budgeting, Packaging, Disbursement Return of Title IV Funds and Satisfactory Academic Progress, etc.).
- Evaluate Exception reports, rejects and errors for resolution.
- Collect, analyze, evaluate, and perform verifications/corrections of financial aid data and documents submitted by students.
- Assist member institutions in identifying and resolving overawards.
- Reviews applications and other documents for student financial aid eligibility per the Department of Education eligibility requirements.
- Identify and review student files flagged for conflicting information.
- Perform Return of Title IV calculation when a student withdraws from the member institution either officially or unofficially.
- Maintains up-to-date knowledge of member colleges’ policies, procedures and federal state regulations, related to the financial aid process
- Other duties as assigned.
Qualifications (Education)
- An associate’s degree in business, finance, or any related field is required or three years’ experience in higher education.
